When you schedule a meeting, you choose under “Requirements to join meeting” who may enter the meeting room. You find the field below ‘More options’.
| Option | Who may enter |
|---|---|
| “None” | Anyone with the meeting link |
| “Invited participants only” | Only the people you invited by email, and people who registered with the meeting registration form |
| “Lobby - access granted by moderators” | Participants wait in a lobby until a moderator lets them in |
| “Members of your account” | Only members of your account |
| “Members of this web meeting platform” | Only people who are logged in to the platform |
| “Validated against external service” (if available) | A service of your organization decides |

The field appears only if your platform lets organizers choose. Otherwise every meeting uses the setting of your platform. See Meeting room and webinar in the white-label administrator hand book.
How to let people in from the lobby is explained in Running a meeting.
For the options “Invited participants only”, “Lobby - access granted by moderators” and “Validated against external service”, you can switch on “Generate links that skip the join authentication” (if available). Your platform administrator decides whether these links are available.
The meeting details then show an extra link, for example “Meeting link (skip authentication)”: “This link lets participants join without passing the meeting authentication.” In a webinar there is also a “Speaker link (skip authentication)”. Give these links only to people you trust, because anyone with the link gets in.
You can opt to require a password to be able to enter the meeting room, this password will be sent in the invitation to your participants unless you select “Hide password in email invitation”.
Switch on “Add password to meeting link” to put the password into the meeting link. Participants who use the link do not need to type it. The meeting details show the password.
With a registration form, people register for your meeting before it takes place. Your account administrator creates the forms (see the account administrator hand book).
The meeting details show the “Meeting registration form link”. Publish it or send it to the people you want to reach. The number of “Registered users” is shown below it. How to invite registered users afterwards is explained in After the meeting.
Choose whether participants enter their email address on the join page:
Off-the-Record meetings never ask for an email address. The field appears only if your platform lets organizers choose.
