Your meetings

Instant meeting

You can choose to start an instant meeting without any configuration or scheduling in advance; the application will create a meeting room with your default settings (see Account settings - Default Settings in the account administrator hand book). Click “Instant meeting” at the top of the menu on the left side.

The instant meeting starts right away and lasts one hour. The page with the meeting details opens. Click the meeting link to enter the meeting room.

You can then invite participants by sending them the Meeting link or invite them afterwards once you have entered the Meeting room itself (see Running a meeting).

Or you can click on the “Invite” button on the details page. This will open an extra menu where you can enter the e-mail address(es) of the participants.

Upcoming meetings

Here you will find an overview of all the meetings that you have scheduled as a meeting organizer or have been invited to by others.

This section appears by default after you have logged in to the portal interface.
To view the details of this meeting simply click on the meeting room topic.

The Your upcoming meetings list with two meetings selected, so that Cancel selected meetings appears

By clicking on the pencil-icon you can edit the selected meeting. (only appears for future planned meetings, not on-going meetings).

By clicking on the join-icon (“Join meeting”) you can join the selected meeting.

A recorded meeting (if available) is marked with a dot icon in front of the topic. Meetings that are open right now are highlighted.

Important: the organizer of the meeting should close the meeting room completely after the end of the meeting. Otherwise the meeting room, and a running recording, stay active until the scheduled time has ended. Click the X icon (“Close meeting”) next to an open meeting and confirm. The meeting then moves to “Past meetings”. For a recurring meeting, only the current meeting is closed; later meetings in the series are not affected.

By selecting the check box(es) in front of the meeting(s) you can select the meeting(s) you wish to cancel. A red text “Cancel selected meetings” will appear in the top right corner of the interface. Click this text and confirm to cancel the meeting(s).

Before you confirm, you can write an optional cancellation message to the invited participants. If one of the meetings is a recurring meeting, all occurrences of it are cancelled. To cancel only one occurrence of a recurring meeting, click its trash icon (“Delete meeting”).

Some meetings cannot be canceled; if you are not the organizer or the meeting is on-going you cannot cancel it.

Click “Filter” to show “Only my meetings” or “All meetings”, or to search by free text. Click “Find” to apply the filter.

Your account administrator decides whether you also see and manage the meetings of other organizers in your account.

Past meetings

Here you can review all meetings that were planned, attended, or which you have been invited to in the past, including your own meetings.

To view the details of this meeting simply click on the meeting room topic. What you find there is explained in After the meeting.

By selecting the check box(es) in front of the meeting(s) you can select the meeting(s) you wish to delete entirely.
A red text “Delete selected meetings” will appear in the top right corner of the interface. Click this text to delete the meeting(s). There is no further confirmation.

Meetings can be deleted automatically after some period of time; this is set in Account settings - Default Settings (“Automatically delete meetings”).

In the top right corner of your interface you can also click on the ‘Filter’ button to start a search in your past meetings.

Fill in your desired criteria to do the search and hit the ‘Filter’ button. You can search by “Topic”, “Email”, “Start date” and “End date”, by “Tags” (if available), and show “Only recorded meetings”.

The filtered result will be shown in the list below.
