Veeting Rooms is a subscription based videoconferencing and collaboration service that is accessible online. The service is aimed at businesses who need to hold virtual video and or audio meetings with customers and colleagues globally and locally. No special hardware or software is required to use it apart from a computer with a camera and a microphone and an internet connection. Veeting Rooms is made available as a SaaS application. It is software that does not have to be downloaded but is simply accessed on the Internet.

Although you may think that this adds up to a cloud service, it in fact can not really be considered as such for one very important reason. That is that normal cloud services spread your data all over the world for reasons of latency to speed up access to your information and in order to ensure that if some data centers become inaccessible they will still be able to retrieve your data in a timely fashion. But they can't say where your data actually resides. In a court of law this makes a difference. We store and backup your meeting documents in more than one location but only in one jurisdiction, Switzerland. You know exactly where they are and you can prove it in court if necessary.

If you find that you need more time to evaluate the service we would be happy to extend the trial for a further two weeks giving you a whole month to try it out. Simply contact us and request an extension.

If you are using Google Chrome on a Windows PC you might have an issue with the application specific volume control of your operating system. To adjust the volume for Google Chrome on a Windows PC, follow these easy steps:

Step 1: Locate and right click on the volume control icon in your Windows system tray (the collection of icons to the right side of the taskbar).

Step 2: Select Open Volume Mixer from the list that appears. From the window that appears you can adjust the volumes of any application currently open on your computer.

Step 3: Find the Google Chrome application and adjust its associated volume slider.

The meeting URL is a unique link to your meeting. You can send this link to your meeting participants. Once they click on the link, they are automatically directed to your meeting room.

When you join a meeting and start a video or audio session, your browser will ask you for permission to access the microphone and camera of your computer. You must grant our service access to your camera and your microphone if you wish to join the audio and video conversation.

Private meeting rooms allow you to share documents up to a combined size of your entire available store. Individual document sizes are limited to 50mb.

When you create an account, you will define at least one account administrator. These administrators will be the main account holders and are responsible for payments and for managing your team. An account administrator can grant access to your meeting rooms to as many team members as you like. Any member who has access to your meeting rooms is called a "meeting organizer". A meeting organizer can schedule and manage meetings, upload and delete documents. However, only an account administrator can make further payments or add meeting organizers.

Up to five endpoints can join a Standard meeting. Up to 30 endpoints can join a Boardroom meeting. Up to 50 endpoints can join a Webinar meeting. The number of individual attendees participating at each endpoint is your choice.

An email invitation consists of a calendar invitation and a text in the email itself. The calendar invitation can be added to calendar apps such as Microsoft Outlook, Google Calendar or others.

The calendar invitation always shows the time in the user's local time zone, but the text of the email itself always shows the time in the default time zone of the person who invited to the meeting.

You can customize the default time zone for yourselves in your User Settings:

Once adjusted, future invitations will display the new time zone in the email text.

You can schedule a recurring meeting at specific week days be selecting "Weekly" as the frequency of your recurring meeting. It will then allow you to select specific week days:

Let's assume that you have scheduled a recurring meeting for every Thursday afternoon. If you open the link on a Friday the system does not know if you try to access the meeting from last Thursday (which would mean that you are late) or the meeting from the upcoming Thursday (which would mean that you are too early). At the moment the system assumes the former case, i.e. it shows you that the meeting from last Thursday has already been completed. If you open the link on a Thursday at or before the meeting start date it shows you the "Join Meeting" screen.

Boardroom and Webinar meetings can be recorded. Veetings are not recorded by default, you can however enable the recording feature when you schedule the meeting. 

There are two options for recorded meetings: fully recorded meetings automatically record the meeting from start to end without the need for you to start the recording manually. Partially recorded meetings do not start the recording automatically. You can start and stop the recording during the call multiple times, resulting in multiple different recordings as well as a recording which combines all partial recordings into one file.

Veeting does not provide a mobile app. However, Veeting Rooms is a Progressive Web App. You can add it to your home screen on mobile devices. This will store an App Icon on your device. When you open the app from your home screen it looks and feels just like an app which you have installed from the app store.

An account is identified by an email address. An email address can only exist once in our system.

You'll receive the error message "Failed to add: this user is already a member of an other account" if you try to add someone with an existing Veeting Rooms account to your own account. Please ask this person to delete the existing account. You can add this person as a meeting organizer or account admin once the other account has been deleted.

If you want to record a meeting you need to configure this when you schedule the meeting:

Please note that end-to-end encrypted meetings of the type "Standard" or "Off-the-Record" cannot be recorded. Therefore, the option "Enable recording" is not available for these two meeting types.

Meetings can be recorded either in their entirety or partially. This can be configured with the additional option "Recording type". If the option "Start and stop recording during meeting" is selected, the moderator must control the recording during the session itself. If the entire session is to be recorded, the system automatically starts the recording.

After the meeting, the recording is processed by the system. This may take some time depending on the duration of the meeting. Once the recording is available, the system sends an email with the link to the recording to the meeting organizer. Participants do not receive this email unless the option "Automatically send the recording to all participants" has been activated.

Recent Android versions support all the web browsers that can be used to access our service. (Be aware that joining a meeting via a mobile device will use data from your data plan!) You can join a meeting with Safari and the latest iOS version too.

We take in-depth precautions to maintain privacy. All communication between your browser and the veeting.com servers use 256-bit TLS encryption. This is the same technology used by online banks and shopping sites. We don't serve data from other servers than our own. Audio and video conversation is entirely encrypted by the DTLS-SRTP standard. We hash every password in our database with individual salt.

All our servers are physically located in Switzerland and managed by a Swiss hosting provider. We use a Swiss company for payment processing. All data served to you while using Veeting Rooms are entirely served out of Switzerland. You receive the benefit of an entire service that is protected by Swiss laws.

We use customer data only for technical debugging of our service offering and for anonymous usage statistics that we use internally in our company to improve our service. We will never access or read your data internally or externally. We will never give 3 ^rd parties access to your data. We do not share your data with anyone except when we are legally obliged to do so under Swiss law. Please refer to our privacy policy for more information.

We recommend to always use the most recent versions of the web browsers. Nevertheless, the following versions are supported by our system:

• Google Chrome(version 95 or newer)
• Mozilla Firefox (version 91 or newer)
• Opera(version 75 or newer)
• Chromium Edge (version 95 or newer)
• Safari (version 15 or newer)

The Veeting Rooms application works on all platforms where these browsers are available.
