Meeting types and layouts

Meeting type

The meeting room solution includes 5 different types of meeting rooms. All meeting rooms come with the same collaboration features (Off-the-Record meetings have no agenda or pre-uploaded documents), they differ only in terms of encryption and number of participants.

You choose the type under “Meeting type” when you schedule a meeting. Which types you can choose depends on your account.

The meeting types in the schedule form with Boardroom selected, and the Enable dial-in, Enable recording, Recording type, Automatically send the recording and Participants are muted by default options below

Standard Meeting: Up to 5 participants. Audio, video and screen sharing is end-to-end encrypted, the meeting data is sent encrypted to the server. This allows the server to send out a meeting summary at the end of the meeting. Therefore, the server is able to read your meeting data.

Off-the-Record Meeting: Up to 5 participants. Audio, video, screen sharing and all data is end-to-end encrypted, the server only receives meta data. Therefore, the server cannot send a meeting summary. It is however possible to download the summary directly in the browser during the meeting.

Audio-Only Meeting (“Audio only room”): Without video. Audio, screen sharing and all data is sent encrypted to the server. This allows the server to send out a meeting summary at the end of the meeting. Therefore, the server is able to read your meeting data.

Boardroom Meeting: Audio, video, screen sharing and all data is sent encrypted to the server. This allows the server to send out a meeting summary at the end of the meeting. Therefore, the server is able to read your meeting data. Additionally, one can optionally activate recording and dial-in by phone number (if available) for these type of meetings.

Webinar: Audio, video, screen sharing and all data is sent encrypted to the server. This allows the server to send out a meeting summary at the end of the meeting. Therefore, the server is able to read your meeting data. Additionally, one can optionally activate recording and dial-in by phone number (if available) for these type of meetings. See Webinar.

Dial-in and recording

If you choose the Board Room or Webinar option, the switches “Enable dial-in” and “Enable recording” will appear (if available; “Enable recording” also appears for Audio-Only meetings). If both options are activated, only the audio is recorded.

Your platform administrator decides whether dial-in and recording are available.

With dial-in, participants can join by telephone. The meeting details show the “Conference ID” and the “Dial-in numbers”.

The recording option records the video stream as well as screensharing. It does not show the group chats and the possible build-up of the whiteboard. The result of the whiteboard is in the PDF with the summary of the meeting.

Recording type

When you switch on “Enable recording” (and dial-in is off), choose the “Recording type”:

  • “Record entire meeting”: the recording runs for the whole meeting.
  • “Start and stop recording during meeting”: you start and stop the recording yourself in the meeting room (see Running a meeting).

The form shows this note: “We store the recordings for 14 days only. Please remember to request and download the recording right after your meeting.”

You can consult the recording via past meetings, click on the specific meeting, then go to summary. See After the meeting.

Automatically send the recording to all participants?

Switch this on and all participants receive the recording by email after the meeting.

Participants are muted by default

For boardroom and audio-only meetings. The form explains: “All participants except the meeting organizer will be muted by default. Remember to log in before joining the meeting, otherwise the system will not recognize you as the meeting organizer.”

Meeting room layout

Under “Meeting room layout” you choose how the meeting room is arranged:

  • “Classic meeting room layout”
  • “Meeting room layout optimized for presentations”

Language channels

Language channels (if available) let interpreters translate a boardroom meeting or a webinar. They are not available for meetings with dial-in.

  1. Open ‘More options’ in the schedule form.
  2. Switch on “Enable language channels”.
  3. Under “Language channels”, choose the languages.
  4. Schedule the meeting. The meeting details now show the “Interpreter link”. Send it to your interpreters.

When participants join, they choose their “Speaking language” and their “Listening language”. “Floor” is the original sound of the room.

Webcast (broadcast) meeting

With a webcast (if available), the meeting is streamed to a streaming service of your choice. It is not available for Off-the-Record meetings.

  1. Open ‘More options’ in the schedule form.
  2. Switch on “Webcast (broadcast) meeting”.
  3. Enter the “RTMP server address” and the “RTMP stream key” you received from your streaming service.

The meeting details show both values.
